This privacy policy describes how Stepping Stones Psychology (hereby referred to as “Stepping Stones Psychology”, “we”, or “us”) collect, store, process and share the information you provide for the purposes of our work together, as well as your rights in relation to this information. Stepping Stones Psychology may review and update this policy from time to time and thus you should occasionally check this page to ensure you are in agreement with the conditions set out.

WHAT WE COLLECT

Personal information means any information that may be used to identify an individual, including, but not limited to, a name, title, email address, home or postal address, other contact information, and other information needed to provide a service and/or carry out any work that we have agreed with you. Upon commissioning our services, basic personal information will be collected for contact and identification reasons. During our sessions, a psychological assessment will be completed and notes may be taken during sessions. These will include personal and sensitive details and are used solely for the delivery of a psychological service to you.

 

When you use our website, some information about the device you are using to access it (e.g. a desktop computer or mobile), your operating system and the browser you are using including your IP address is automatically saved to our web server log files. This provides us with information to help keep our website secure and to notify us of any technical problems that might arise.

HOW WE USE IT

We will only collect data from you that is necessary and relevant to offering you the services that you have sought from us, for example, psychological therapy and/or psychological assessment, training, consultation and supervision. Collecting this data helps us to:

 

  • Establish if we are the right service to help you.

  • Contact you to set up an assessment, therapy, training, consultation or supervision.

  • Conduct a thorough psychological assessment.

  • Make appropriate recommendations of, or implement, a therapeutic intervention/treatment plan.

  • Invoice you for services provided.

 

We may occasionally send you promotional information which we think you may find interesting, using the email address which you have provided. From time to time, we may use your information to contact you for service evaluation purposes.

 

We are committed to ensuring that your information is secure and have put in place appropriate electronic and managerial procedures to safeguard and secure the information we collect. This policy has been written in accordance with the European Unions General Data Protection Regulation (GDPR).

 

Stepping Stones Psychology will not share your personal information with any third parties unless we have your explicit permission or are required to do so by law or if we have a good-faith belief that such action is necessary to comply with a court order, to cooperate with investigations by law enforcement or regulatory authorities or to participate or cooperate with a judicial proceeding, or in urgent circumstances, to protect personal safety or the public.

 

Email Communication

 

We may use email communication to liaise with you about practical details, such as appointment dates, times and changes and to give us an overview of your situation. We kindly ask that any sensitive personal information shared, such as details about your situation or that of another person via email is kept to a minimum and ideally anonymised e.g. by using initials. When deemed necessary, we may request you use a more secure method, such as password-protected documents and/or encrypted email systems.

 

Online Appointments

 

Some of our work may be conducted via online video link using Microsoft Teams. We have taken reasonable steps to ensure the confidentiality of the sessions using this online platform, including the use of client-specific meeting links and a waiting room so all guests of the session are admitted by the host.

 

These sessions are not audio or video recorded (unless discussed and agreed with the client and psychologist) and we would kindly ask our clients not to audio or video record the sessions without prior discussion, agreement and consent from the psychologist they are working with.

 

Clients accessing our services must be able to access the sessions on an appropriate device and be able to set-up and protect the environment in which they access the online session(s) to maintain their confidentiality. For example, this means being able to meet for the specified time duration in a room/environment which is private, confidential and with no interruptions or distractions.

HOW LONG WE KEEP IT (DATA RETENTION)

We do not keep personal data for longer than is necessary.

 

Administrative data is retained for up to six years as necessary, in the event there are queries from HMRC. Where it is not necessary to retain the data for six years, it is destroyed as soon as possible.

 

Personal data is retained, as necessary, for seven years in compliance with professional indemnity and legal obligations. In the case of a child under the age of 13 years, data is retained for seven years after they reach the age of maturity (18 years).  After this date, all data will be securely deleted.


HOW YOU CONTROL IT

We are fully committed to protecting your rights to privacy. Under the Data Protection Act and General Data Protection Regulations (GDPR), you have certain rights in relation to the personal data collected, stored, processed and shared about you, including the rights to:

 

  • Request access to your personal data.

  • Request correction of your personal data.

  • Request erasure of your personal data.

  • Object to processing of your personal data.

  • Request restriction of processing of your personal data.

  • Right to withdraw consent.

HOW WE USE COOKIES
